The operator of BriefVox AI is: Filip Ogonowski, a natural person conducting unregistered business activity within the meaning of Art. 5 of the Polish Act of 6 March 2018 – Entrepreneurs' Law, Generała Dezyderego Chłapowskiego 12, 05-825 Grodzisk Mazowiecki, Poland.

1. Nature of the subscription
A BriefVox AI subscription is not an unlimited service. Each plan provides a set number of minutes per billing period. Users must be clearly shown the price, number of minutes, renewal date, and consequences of cancellation before purchase.
The Free plan is a free testing allowance, not a paid Stripe subscription. After email verification, an eligible account may receive 20 shared minutes monthly for captioned video or transcription without a payment card. Minutes use one shared balance, do not include AI Tokens or AI Notes, and do not roll over to the next month.
Free minutes are intended as a single allowance per device and per user. If abuse is detected — in particular creating multiple accounts from the same device to claim the free minutes repeatedly — the Operator may withhold the automatic free-minute grant for that account. This does not block the account, which can still use the service after purchasing a package or subscription. To detect abuse the Operator uses a device identifier (cookie) and hashed technical signup data.
2. Monthly plans
BriefVox offers one Universal plan family covering Captions and Transcription. Each plan states its shared minute allowance, maximum file length, AI Tokens, price, and billing period.
The current price, currency, minute allowance, and plan scope are binding as shown immediately before the order is placed in the Service and in Stripe Checkout. The Operator may change the catalogue for new purchases; changing the price of an existing subscription requires advance notice under applicable law and Stripe rules.
3. Annual plans
An annual plan is paid upfront for 12 months. Minute and AI Token allowances are granted in the monthly tranches shown before purchase; an unused tranche does not roll over unless the offer expressly states otherwise.
4. Minute allocation
Under monthly plans, minutes are allocated at the start of each paid billing period.
Under annual plans, payment is collected upfront for the full year, but minutes are allocated monthly as 1/12 of the annual pool each month.
Minutes are allocated only after successful payment confirmed by Stripe.
A user returning from the Stripe checkout page is not sufficient grounds for allocating minutes.
A failed payment does not result in new minutes being allocated.
5. Minute expiry
Subscription minutes expire at the end of the billing period and do not carry over to the next month.
Minutes for each monthly tranche under an annual plan expire at the end of the corresponding billing month.
When a recurring payment succeeds, unused minutes from the previous period are expired and the user receives a new pool for the next period.
6. No minute rollover
Subscription minutes do not roll over between billing periods.
One-time packages are separate: their minutes remain valid for 12 months and are not removed by subscription renewal.
7. Order of minute consumption
The system consumes minutes in order of earliest expiry date. Minutes expiring soonest are used first. Indefinite minutes, if any, are used last.
8. Cancelling a subscription
Users may cancel their subscription at any time.
After cancellation, access and minutes remain active until the end of the paid period.
If no minute and no AI Token has been used in the current period, the cancellation screen may offer a full refund with immediate subscription termination. If any benefit has been used, the available option is to turn off renewal without a refund for the current period, to the extent permitted by law.
At the end of the period, unused subscription minutes expire, subject to mandatory applicable law.
No further automatic renewal will occur.
9. Active Universal subscription
A user may have at most one active Universal subscription covering Captions and Transcription at the same time.
Another active subscription is blocked until the current plan ends or is changed. Historical product-specific subscriptions, if any, retain the terms shown in the account until they end or are migrated in accordance with applicable law.
Minutes from separately purchased one-time packages are not cancelled by having or ending a subscription.
New minutes from a new plan are allocated after the new subscription is activated and payment succeeds.
10. PAST_DUE and BILLING_HOLD

If the automatic payment for a subscription renewal fails, the account enters an overdue state. New transcriptions are blocked until payment is settled.
BILLING_HOLD
In the event of a chargeback, the account is suspended, minutes associated with the disputed payment are reversed, and new transcriptions are blocked until the dispute is resolved.
11. Pre-purchase information
The purchase button shows the price and billing frequency, for example: "Subscribe to Pro for $17.99 per month".
Before confirming a subscription purchase, the User sees a summary: plan name, price, currency, number of minutes, first renewal date, information about automatic renewal, cancellation policy, and minute expiry rules.
12. AI Notes and AI Tokens
AI Notes are available in one-time packages and active subscriptions according to granted AI Tokens and the feature scope of the plan.
The Free plan does not include AI Tokens or AI Notes. AI Notes, transcript translation, and AI Tokens are available in paid packages and active subscriptions according to the pricing table.
AI Tokens are separate from transcription minutes. Package tokens expire after 12 months, and subscription tokens expire at the end of the billing period.
Every paid Universal plan includes the AI Token allowance displayed before purchase. Annual subscriptions grant that allowance monthly. Subscription AI Tokens do not carry over to the next period.
PAST_DUE, BILLING_HOLD, or PAUSED status blocks AI Notes until billing status is restored.
13. Startup promotion
The startup promotion may include 50% off the first month of a monthly subscription and 50% off the first minute package from Standard upward.
The promotion does not apply to annual subscriptions, the Mini package, separately purchased additional AI Tokens, or second and later purchases of the same type.
Promotions cannot be combined and are validated on the backend. The Stripe webhook is the source of truth for successful purchases.
Rétractation, réclamations et conformité du service numérique
Le consommateur concluant un contrat à distance dispose en principe de 14 jours pour se rétracter sans motif. S'il demande expressément l'exécution immédiate et se rétracte avant l'exécution complète, il peut devoir un montant proportionnel au service déjà fourni. Le simple commencement d'un service payant ne supprime pas automatiquement ce droit; il n'est perdu qu'après exécution complète lorsque les conditions légales de consentement et d'information préalables sont réunies.
L'option automatisée de remboursement intégral dans le tableau de bord est une facilité supplémentaire et ne limite pas les droits impératifs. La rétractation ou la réclamation peut être envoyée à billing@briefvox.com ou support@briefvox.com.
Si le service numérique n'est pas conforme au contrat, le consommateur peut demander sa mise en conformité dans un délai raisonnable et sans inconvénient majeur. Dans les cas prévus par la loi, il peut ensuite demander une réduction proportionnelle du prix ou mettre fin au contrat.
